Voice Agent Template for Hospital Websites

Ready-to-adapt AnveVoice setup for hospital websites: wayfinding, departments, visiting hours, price transparency pages and strict emergency and clinical.

Voice agent template: hospital website

A hospital website serves patients, visitors, relatives and referrers with very different needs, and most of them just want to find the right page. This template sets AnveVoice up as a wayfinding and information layer: it answers from your published pages, opens the right department, appointment or price page, and refuses to triage or give clinical advice. It is a poor fit for anything transactional inside clinical systems. Researched from the sources below on 2026-10-14.

At a glance

  • Best first goal: Reduce lost visitors: get people to the right department, appointment form or visitor information page
  • Main risk to manage: Emergencies and clinical questions typed or spoken into a general website assistant
  • Pages it needs: Departments and services, find a doctor, appointments, visiting hours, directions and parking, billing and price information, patient portal
  • Channel: Your website only; hospital switchboard, triage and emergency lines are not replaced

Who visits a hospital website and why

  • A patient trying to book an outpatient appointment with a specialist and unsure which department or doctor to choose.
  • A relative asking about visiting hours, ward rules and where to park.
  • Someone searching for the emergency department location and how to reach it in a hurry.
  • A patient looking for estimated prices, billing support or the hospital's published price information.
  • A referring doctor looking for referral forms, specialist clinic lists and contact numbers.
  • A person trying to reach the patient portal to see results or message a care team.
  • A job seeker, a student or a supplier landing on the site for non-clinical reasons.

What to give the agent

Hospital sites are large and uneven, which makes them hard for visitors and easy to get wrong for an agent. Decide which twenty pages carry most visits and make sure they are accurate; the agent will lean on them. Tell it explicitly which topics belong to the switchboard.

  • Department and service pages with a one-paragraph description, location in the building and a contact route.
  • A doctor directory with specialisms and a booking link per doctor or clinic.
  • Outpatient appointment instructions, referral requirements and what to bring.
  • Visiting hours by ward, visitor rules, parking, public transport and accessibility information.
  • Billing and price information: your published price list or shoppable-services page and the billing contact route.
  • Emergency information: where the emergency department is, how to reach it and a list of when to go.
  • Patient portal instructions and the routes for medical records requests.

Agent instructions (copy into your dashboard)

  • 1. Paste and edit the bracketed details — Replace the hospital name and page names. Check your emergency wording with clinical leadership before launch. Code: You are the website assistant for [Hospital Name] in [Town]. You help visitors find information and the right page on this website. Be calm, courteous and brief, and match the visitor's language. Many visitors are stressed. Help visitors in these ways. For appointments, ask which specialty or doctor they need and open the [Find a doctor] or [Book an appointment] page. For visiting questions, use the [Visitors] page. For directions and parking, use the [Getting here] page. For prices and billing, direct visitors to the [Prices and billing] page and the billing contact route. For records and results, explain the [Patient portal] page. For referrers, open the [Referrals] page. For jobs or suppliers, open the relevant page. You are not a clinician and you are not a triage service. Never diagnose, never say whether symptoms are serious or can wait, never recommend tests, treatments or medicines. If someone describes chest pain, difficulty breathing, signs of stroke, heavy bleeding, severe injury, loss of consciousness, a pregnancy emergency, or any situation they believe is an emergency, tell them to call the local emergency number now or go to the [Emergency department] shown on the website, and give its address. Do not collect health information, record numbers or payment details in conversation. For anything you cannot find on this website, give the switchboard number from the [Contact] page.

Pages and forms the agent should use

  • Visitor need | Page or form | What the agent does
  • Book an outpatient visit | Find a doctor and appointments pages | Asks for specialty, opens the matching clinic or doctor page and the booking route
  • Emergency | Emergency department page | Tells the visitor to call the emergency number or go to the department; shares address and directions
  • Visiting a patient | Visitors page | Reads visiting hours, rules and ward-specific notes
  • Directions and parking | Getting here page | Gives the address, entrances, parking and transport options
  • Price information | Prices and billing page | Opens the published price list and billing contact; does not quote a personal estimate
  • Results and records | Patient portal and records pages | Explains portal login steps and the records-request route

Questions to answer before going live

Run the chest-pain question several times in different words. The agent must always tell the visitor to use emergency services, never offer reassurance or appointments.

  • Where is the emergency department?
  • What are the visiting hours for the maternity ward?
  • How do I book an appointment with a cardiologist?
  • Do I need a referral to see a specialist?
  • Where can I park, and does it cost anything?
  • Where can I find your price list?
  • How do I see my test results online?
  • Who do I contact about my bill?
  • Can I bring a child to visit a patient?
  • Which doctor treats back pain?
  • I have chest pain. What should I do?
  • How do I request a copy of my medical records?

Keep out of scope

  • Triage, diagnosis or any suggestion about how serious a symptom is.
  • Admission, discharge, ward-status or individual patient information.
  • Quoting individual price estimates beyond the published price information.
  • Handling complaints, consent or legal matters; these go to named departments.
  • Replacing the switchboard or emergency routes. A website assistant is not an emergency service.

Set up in four steps

  • 1. Create the agent — Sign up at app.anvevoice.app on the Free plan and add a bot for your hospital website address.
  • 2. Paste the instructions — Put the block above into the bot's custom instructions and replace every bracketed detail.
  • 3. Add the script — Follow the guide for your site builder at anvevoice.app/install and paste the embed tag once.
  • 4. Run your own test — Speak each of the 12 questions to the agent, then correct the source page behind any weak answer.

Illustrative example

Illustrative example, not a recording of a real conversation. A hospital website assistant must never stand in for an emergency line.

  • Visitor: "I need to see a heart doctor. How do I get an appointment?"
  • Agent: "I can help you find the clinic. I'm opening the Find a doctor page for cardiology."
  • Agent opens the cardiology clinic page.
  • Agent: "The page lists referral requirements and a booking link. Do you have a referral letter?"
  • Visitor: "Yes, from my family doctor."
  • Agent: "Then I'll open the appointment form. You'll enter your own details. Please note that if you ever have chest pain, call the emergency number straight away; don't wait for an appointment."
  • Agent opens the booking form and highlights the referral upload field the page describes.
